Terms & Conditions for Hotels

These terms govern a hotel's use of the SecureStay verification platform. By using SecureStay, the Hotel agrees to the terms set out below.

1. Definitions

SecureStay refers to the SecureStay Global verification platform.

Hotel refers to the property entering into this agreement.

Guest refers to any individual seeking room access.

Verification refers to the identity-check process performed through SecureStay.

2. Service Description

SecureStay provides a digital identity-verification tool designed to support hotels in confirming guest identity prior to issuing room keys or granting access.

SecureStay does not make operational decisions and does not replace the hotel's internal safety procedures.

3. Hotel Responsibilities

The Hotel agrees to:

  • Maintain full responsibility for guest safety, compliance, and operational decisions.
  • Ensure staff follow internal procedures alongside SecureStay verification.
  • Provide accurate information when using SecureStay.
  • Maintain alternative verification methods in case of system downtime.
  • Comply with all applicable laws and regulations.

4. SecureStay Responsibilities

SecureStay will:

  • Provide access to the verification platform.
  • Log verification attempts and access requests.
  • Store only minimal verification data required for audit purposes.
  • Provide reasonable support and maintenance.

SecureStay does not:

  • Guarantee the accuracy of guest-provided information.
  • Accept liability for staff misuse or incorrect data entry.
  • Replace hotel safety protocols or legal obligations.

5. Data Protection & Privacy

SecureStay stores only verification results and audit logs.

SecureStay does not store ID images, biometric data, or copies of identification documents.

All data is processed in accordance with applicable data-protection laws.

6. Liability Limitation

SecureStay is not liable for:

  • Guest behaviour, misconduct, or incidents on hotel premises.
  • Losses arising from incorrect information entered by hotel staff.
  • Operational decisions made by hotel employees.
  • System downtime or connectivity issues.
  • Any indirect, consequential, or punitive damages.

SecureStay's total liability shall not exceed the total fees paid by the Hotel in the preceding 12 months.

7. Indemnity

The Hotel agrees to indemnify and hold SecureStay harmless against claims arising from:

  • Staff misuse of the platform
  • Incorrect data entry
  • Failure to follow hotel safety procedures
  • Guest disputes or incidents
  • Breaches of law or regulation by the Hotel

8. Termination

Either party may terminate with 30 days' written notice.

SecureStay may suspend access for misuse, non-payment, or breach of terms.

9. Governing Law

This agreement is governed by the laws of England & Wales.

10. Dispute Resolution

Any disputes shall first be addressed through good-faith negotiation.

If unresolved, disputes may be referred to mediation or arbitration.
